Organisation Description

An established Lloyd's broker based in the City is currently looking to recruit a Receptionist to join their successful team. This is a well respected Lloyd's insurance broker that prides themselves on service.

Job Description

Suitable candidates for the position will already have gained experience working in a Reception or Admin based role (ideally within Insurance) and will be looking for a new challenge within a small and respected Lloyd's broker.

You will need to be able to cope with a busy work environment dealing with varied tasks throughout the day.

Reporting directly to HR and Operations Supervisor & Directors you will be responsible for the following duties:

* Providing exemplary Front Office support in the London Office
* Answering the telephone and transferring calls in a professional manner
* Preparing and administering stationary orders for the London team
* Dealing with incoming and outgoing post & emails
* Assisting the Operations Supervisor with ongoing projects
* General office duties such as booking meeting rooms, welcoming clients to the office, ensuring the reception area and communal areas in the office are maintained to a high standard
* Complete expenses for Directors and senior level staff
* Keep the Gift and Hospitality spreadsheet up to date
* Arrange lunches and refreshments for meetings
* Relay any building problems or changes to building manager
* Easy approachable attitude towards clients and work colleagues
* Provide End of Month Paper, Ink, Post and Petty Cash reports to accounts
* Act as the first point of contact in the London office
* Help with office archiving
* Assist with SharePoint development, testing and design
* Prepare desk space for new starters
* Assist with maintain covid procedures
* Organise and maintain company car duties and policies
* Scanning, photocopying, binding and franking
* Introduce new starters to the London office providing them with office and fire exits tour
* Prepare desk space for new starters
* Be responsible for petty cash
* Organise any seasonal gifts on behalf of brokers
* Organise contractors when required
* Project work on an ad hoc basis
* Maintain the fire register
* Keep a record of meter readings and report to account

Person Specification

This is a pivotal position within the company and therefore demands a responsible attitude. Due to the client facing nature of the position the candidate must be well presented and have excellent communication skills.

The ideal candidate will need to have strong computer skills. Good communicational and organisational skills are also essential.

Other desirable skills are:

* Advanced knowledge of Microsoft products (Word, Excel and Outlook) or similar software applications.
* Ability to manage time, prioritise and ensure that deadlines are met without compromising quality.
* Ability to understand and execute oral and written instructions.
* Ability to communicate effectively and professionally both verbally and in writing with clients, insurers and other associates.
