Temporary Administrator - Chingford

£10 to £11 per hour
Monday-Friday, 9am-5.30pm

Start Monday 1 November - January 2022

Must hold a DBS on file for this role.

This is a very varied role you will have responsibilities with:

Administration / Finance / Recruitment (HR) / Payroll

* Assist with front of house to ensure all clients are met and welcomed in a polite manner and all telephone calls are answered in a business-like manner and queries are answered
* Attend to daily correspondence, (letters, emails and calls) and all other administration required using MS Office, this can include the photocopying, scanning and filing (both manual and electronic) and taking a lead on archiving
* Order equipment, stationery and other items as required following correct authorisation procedures
* Ensure that all enquiries are logged onto the electronic system within 24 hours (preferably by the close of business each day) and followed up appropriately
* Input and maintain the company database with client's information
* Responsible for collation of the client's administration information for their files including the sending out of resident contracts and the receipt of signed ones in line with company process
* Place orders with suppliers and follow the requisition process
* Raise orders on the purchase ordering system ensuring they are checked and processed on time, allowing finance to pay suppliers
* Maintain accurate financial records in regard to cheques or cash received as well as banking
* Responsible for Petty Cash
* To be fully familiar with the Company's Recruitment Policy and procedure
* Ensure that the company's Recruitment Processes are followed with regards to the hire of both temporary, permanent and agency staff ensuring all correct authorisations are in place for the hire and offer of employees
* Provide support to the Home Manager with recruitment and onboarding, this may include raising vacancy requisitions, shortlisting applicants and assisting with interviews
* Working with the companies in house recruitment team, providing information on vacancies and support any necessary arrangements for interviews etc
* Ensure local Recruitment tracking is updated accordingly
* Ensure all onboarding documentation is complete and that all new employee's paperwork is completed and compliant with both internal and external regulations, including offer letters, DBS checks, references, right to work checks and other related documents
* Support line managers in maintaining and processing of all staff records, from entering in their initial new starter details and recording the relevant checks through to logging absence and sickness, to recording training and qualifications, to processing leavers in line with the company guidance in the Admin Reference Manual and Company policies
* Ensure all new staff including agency workers are issued with a Pin No for clocking in and out of the time and attendance terminal and signing the fire register as well as providing guidance on how to use any work related Apps systems
* Maintain all on-line staff files (electronic and hard copy) to a good order and securely for when required for audit / review purposes
* Support the management team with the company time and attendance system ensuring all working hours, annual leave and time off is recorded accurately
* Supports requirements for payroll processes including dealing with any queries in order to ensure accuracy and meet payroll deadlines
* Maintaining the clients records to ensure the correct amounts are paid for agency staff
* Running weekly agency reports and agreeing shifts worked before invoices are paid
